Can anyone tell me the difference between stashes and inventories at ATF? I can't seem to find any documentation at the website, nor in past posts here.
Also, what are you long-time DIYers using to maintain your inventories? ATF alone? Spreadsheets? Both? None of the above?
Mine is badly out of out date and I'd like to have a solid plan before going through the motions again. I currently keep flavour notes, recipes and other DIY info in plain text files for the sake of portability between phone and desktops. I'm wondering though if a spreadsheet would make it easier to manage everything in one place.
Lastly, I've amassed about a hundred flavours, with more on the way and some will see little use within the year. Do you guys transfer flavours to glass when you know they won't be used within 6 months or so?
I’ve given up on inventory. When the bottle is low and I want to replenish it I add it to my buy list.
I have two stashes. An accurate stash on ELR and an exaggerated multipurpose stash on ATF. For example, I check off all the sweeteners in my ATF stash. So if Say I search “what can I make?” I’ll get hits for recipes I can make that have sweetener I don’t actually have
That's actually a really good idea, since there are some flavours I don't mind subbing in certain recipes. That would potentially open up more options to experiment with.
Exactly, especially when you’ve basically made everything you can. It opens new doors for recipes your missing flavors for too like the +1 +2 search options. I sub lots of stuff. I make a note and possibly go back to it later when I do have all the flavors.

Your stash is your inventory
I don't have a specific backup for my flavor stash, but it might be a good idea to export it from ATF once in a while.I do however have my original, and favorite recipes backed up - Just simple screenshots are fine for me.
Only thing I have in a spreadsheet are all my vape related purchases - So I guess is have all my flavors listed there as well, though it doesn't account for flavors I've donated or no longer have.
The stash and inventory appear to be two individual databases. For example, I can add an item to my stash, but it doesn't appear in the inventory list I created. I can also create more than one inventory list.
The lists are for anything you want
For example you could make a list of flavors you'd want to purchase etc.
stash and inventory seem to be the same. You can make lists of flavors as well but personally found it to be unnecessary.
I have around 120 flavors and just track low amounts when I'm mixing. ATF will track for you as well but you'd need to input all the data.
I did find a nifty program (for pc). Rod Brown's Diy Juice Calculator. Kind of a bear though because it's SO involved. If you were that nitpicky about it, you enter all your ingredients including how much you have on hand. Put in your recipes, update as you create mixes and it keeps track and deducts what you've used. With notifications I think you can set when getting low (ie, notify when 10ml or less remaining). Maintain a manufacturer list, sort by recipes you've got, by what ingredients you have in inventory, import from text files or excel, export to excel. I haven't dived that deep into it but it's really thorough from the looks of it.
I imagine it would make things a breeze once you had it all set up and got used to using it. For me, I'm not at my pc when I'm mixing so it's a bit awkward. Not to say I'll never use it, but haven't seriously tried to utilize it so far. When a bottle's getting low and I know how much I use of that ingredient I mark it down for reorder.
While I have a 'flavor stash' on atf, I really don't rely that heavily on it. I know at one point I tried to update it and for some reason I had a discrepancy between the flavors I manually wrote by hand and how many in the stash. But for the life of me couldn't find it. As in counting every flavor bottle I had. You'd think it's that simple, that's what I thought. But something is off somewhere. lol.
this is how i keep my stash/inventory … in this i keep my flavors sorted by company but i have them displayed by flavor at home so apples are with apples etc Link works best on desktop
Edit: for full transparency some of those flavors weren’t reviewed by me this is a combination off info for the flavors that i have and the info is from reddit , atf , elr and my personal testing
Thanks for sharing this. Up until now I've done something similar with my flavour notes, expect in plain text files. I also make a note of whether the percentages are my own or just something I've read somewhere.
I've decided to consolidate my various text files into a single spreadsheet. I figure it will be a lot easier to digest the info by using colours and other formatting.
"My Stash" on elr is my flavor inventory. I regularly export it via csv (works as a spread sheet). All my recipes are written in notebooks and are on an external HD in spreadsheet form. This covers web site failures, computer failures, and electricity failures.
Storing flavors, I have flavors that are going on 10 years old and barely lost flavor. I store them in amber glass bottles like essential oils are stored. I keep them room temp and no sun light. Room temp is controlled at 70 degF.
Always store per manufacturers recommended ways. No heat, no light, no refrigeration, no freezing. Do not air out. Shake before each use. No dropper tops, flavors escape out of the rubber top. Hope that helps.
Darn it, I was pretty excited about your glass comments until I saw the no-dropper bit. I've all but committed to transferring my flavours to glass, but I was planning to use dropper caps. I'm assuming you use pipettes for everything then? I just hate the idea of the waste that would generate.
I do use pipettes for my nic, but I'll often use the same pipette for months. For flavours, I would think you'd need to toss after each use to avoid cross-contamination.
I use glass pipettes. And yes I use a different one for each ingredient. I clean them in a sonic cleaner. I use soapy water then rinse in clean water, then dip in everclear to sterilize. Let air dry. I don't use plastic, plastic can shed microscopic pieces when used with acidic flavors and when reused. You can see an example of this if you ever microwave a plastic container holding a tomato based food. Plastic will become stained and flake (look like bubbles in plastic). Tomatoes are very acidic. This is where 'tank cracker' ejuices could not be used in plastic tanks and why most tanks are now glass.
I'm crazy but I keep my stash in ATF, ELR and VCC, also have an app on my phone ejuice master diy. I have about 500 flavours.
Yeah, I admit that amount of organization and synchronizing would drive me crazy.
I make sure my app is always up to date as it keeps track of my batches and amounts. I keep my receipts and update on line when I'm bored lol. I don't work outside the home and mostly just take care of my grandsons so have the time to do it.
